Overview

William Demant Holding Corporation (WDH) is a Denmark-based manufacturer of Hearing-related products and services. WDH is comprised of multiple market-leading Hearing Aid and Audiology Screening and Diagnostic equipment/service companies. The E3 Diagnostic division is the US sales, service and distribution function for all company manufactured instruments/equipment (excluding Hearing Aids) as well as for several non-William Demant Audiology instrument companies. The E3 Diagnostics division is the leading provider of Audiology equipment and service and is comprised of one central General Office (Arlington Heights, IL) and several dozen Sales and Service offices throughout the continental US. 

Responsibilities

  • Provide excellent customer service via face-to-face interactions, and in verbal and written communications with internal and external customers
  • Appropriately handle all incoming calls and correspondence in a professional and timely manner
  • Accurately process Sales and Service requisitions received from branches daily
  • Receive orders and billing notifications from branches
    • Confirm costs of promotions and special pricing
    • Process accordingly and create invoices
  • Create Purchase Orders and submit to appropriate vendors; receive vendor confirmations and promptly ensure accuracy of details and pricing, and review and update AP team on a weekly basis
  • Process Service appointments received via computer system, ensuring accuracy by fixing any incorrect details, including taxes
  • Create pre-invoices for Sales, Service, Supplies, etc. when necessary
  • Run/create supply invoices daily and send invoices via email or regular mail, as requested by the customer
  • Order approved demo equipment at demo pricing, process sales documentation, and confirm e3 will be billed at demo pricing
  • Follow all Special Accounts requirements including special billing, deadlines, and contract requirements, etc.
  • Serve as the point person between the branch and Corporate personnel
  • Maintain and update customer database and files, making sure that all documentation is filed properly so that it is accessible to everyone in the office
  • Run all business processes according to company procedure
  • Act as a team player by communicating with staff to obtain or provide important information
  • Accurately enter data in the computer system (i.e. Demo costs, etc.)
  • Meet daily, monthly, and quarterly deadlines
  • Schedule and participate in office meetings; keep notes and verify that appropriate follow-up occurs
  • Create and/or update Standard Operating Procedures (SOPs) throughout the year with approval of the Operations Manager
  • Suggest methods to improve operations efficiency and service to both internal and external customers
  • Special or general office projects as assigned

Qualifications

  • College degree preferred
  • Prior account coordination experience preferred
  • Proficient in Microsoft Office Suite
  • Self-motivated individual
  • Ability to work independently
  • Attention to detail, highly organized

  • Strong written and verbal communication skills
  • Ability to work with numbers and calculations
